We've all heard that AI is important, but what does it actually mean for daily chamber operations? The recent WACE webinar, "AI: Real World Use Cases for Chambers," brought together chamber executives to share concrete, replicable ways they're putting AI to work to boost efficiency, retention, and revenue.

Here are the most innovative and practical AI applications shared by our panelists:

1. Retention & Sales Automation
The Longview, TX Chamber demonstrated how AI transforms membership growth and retention.
  • Retention Workflow: AI (ChatGPT) was used to refine the entire retention process and draft high-converting email templates. These templates are plugged into the GrowthZone marketing automation workflow, providing consistent, value-driven communication leading up to renewal.
    • The Results: First-year retention rates climbed from 47% in 2022 to a projected 55% in the current year.
  • Sales Funnel: They built a separate CRM with an AI-driven sales funnel. When a prospect clicks "interested in joining" on the website, the AI automatically sends tailored follow-ups via email, text, and even "ringless" voicemail messages.
    • The Results: This hands-off process generated over $10,000 in membership sales in 2025 with little to no staff time involved.

2. Grant Writing & Alternative Funding
The Greater Phoenix Chamber Foundation uses AI to streamline the labor-intensive grant process.
  • Proposal Drafting: Tools like ChatGPT can generate a comprehensive grant proposal from a simple prompt, creating a powerful first draft that is about 75% complete.
  • Targeted Research: AI is used to quickly summarize complex federal grant opportunities, allowing the chamber to instantly check eligibility and alignment without reading hundreds of pages of requirements.
  • Tip: To get better results, try asking the AI: "What else do you need from me?" This forces the tool to ask clarifying questions, leading to more nuanced and effective output.

3. Advocacy & Board Prep Summaries
AI helps chambers stay on top of complex local and regional issues with minimal staff overhead.
  • Advocacy Tracking: The Wilsonville Area Chamber uses tools like Attune's Know It to watch city council and state videos, identify speakers, and provide aggregate, executive summaries on key legislative issues.
  • Board Briefings: The Billings, MT Chamber uses NotebookLM to create a brief, 4-minute audio podcast that summarizes board agendas and prior minutes. They email the raw audio file to board members, ensuring they are primed for discussion before the meeting 
  • Deep Research: For complex issues like school bond measures, the Wilsonville Chamber uploads all relevant meeting notes and data into ChatGPT-5 (using its "deep thinking" capability) to generate a neutral, comprehensive overview that enables the board to make a fast, informed endorsement decision.

4. Communications Optimization & List Cleaning 
Craig Turner (Niagara USA Chamber) showed how AI can directly impact communication metrics.
  • Newsletter Optimization: AI is used to constantly clean the member database (via a ChatGPT Agent) and optimize the copy to beat spam filters and increase engagement. (Fun fact: Chambers love exclamation points, but they are a common spam trigger!) 
    • The Results: The chamber’s newsletter open rate surged from 35% to 57%
  • Event Matchmaking: AI was used to create a real-time, high-value networking session. Attendees completed a quick survey, and the AI instantly matched them to tables with the people who met their stated meeting objectives.

Protect Your Data: Use the Paid Version
The panelists stressed one crucial security takeaway: Do not use the free version of AI platforms for internal chamber work.
  • The paid version (e.g., ChatGPT Plus, approx$20/month) allows you to turn off data sharing, which is critical for protecting member lists and proprietary strategy
  • Use a Chamber-owned account (not a staffer's personal one) to ensure institutional knowledge remains with the organization, even if an employee leaves.

Ready to move from discussion to execution? Here's the collective advice for all chamber executives:
  1. Start Small: Choose one tedious, manual task (like generating meeting minutes or drafting a summary) and use AI to do 50% of the work.
  2. Trial and Error: Don't be afraid to try new prompts. You are not obligated to use the result, but you'll discover new possibilities.
  3. Talk to Your Intern: Treat the chat prompt like an intern who wants to help: "I'm trying to do this, and I don't know where to start—can you help me?"

As chamber executives, our role is to convene and lead; by embracing AI to automate the mundane and amplify our expertise, we can dedicate more time to high-value activities that drive economic growth and member satisfaction.
